What to Do Before You Go: Your Polar Expedition Prep Timeline

Once your trip is booked, the countdown begins. There is no need to stress. Getting ready for a polar expedition is straightforward when you know what to expect. Use this timeline as a guide to stay on track and enjoy the build-up to your journey.

You will receive detailed info from the expedition team too, but this overview helps you see the big picture.

6 Weeks Before Departure

• Double check your passport. It should be valid for at least 6 months after your return date.
• Book your international flights if not done yet. Allow enough time for connections. We recommend arriving at the port at least 1 day early.
• Confirm any pre-cruise hotel nights or local transfers.
• Arrange travel insurance with expedition coverage, including emergency evacuation.
• Look at the packing list and start gathering gear.
• If you want to rent camera equipment or high-end outdoor gear, now is the time.
• Talk to your doctor about seasickness medication or other needs.

4 Weeks Before Departure

• Try on your layers to make sure everything fits and feels good.
• Break in your outerwear and waterproof pants if they are brand new.
• Back up your camera cards or phone storage.
• Inform your bank or credit card company that you will be traveling.
 

2 Weeks Before Departure

• Download all documents sent by the expedition team. This includes embarkation time, ship details, and packing reminders.
• Print anything important in case of poor signal while traveling.
• If you are flying to Ushuaia or Longyearbyen, check luggage allowance on the connecting flights.
• Charge all batteries and test your camera gear.
• Buy a small power strip or travel adapter if needed.

1 Week Before Departure

• Pack your main bag and make a separate list for hand luggage.
• Keep important items with you. This includes medication, documents, travel insurance, camera, and a fresh change of clothes.
• Review weather for your pre-cruise city and pack accordingly.

1 Day Before You Board the Ship

• Arrive in the port city with time to spare. Staying at least one night before embarkation is strongly advised.
• Check your email or WhatsApp for final instructions. There might be updates, so double check how to embark the ship in terms of timings, luggage handling, and meeting points.
• Rest, eat well, and charge your gear.
